Financial statement layouts

Note: This topic describes financial statements that are printed as reports. If you want to produce financial statements for Excel Reporting, see Financial Statement Designer (Excel Reporting).

Before you print a financial statement report from Sage 200, you need to create a layout for each report. You use the layout to specify how your nominal accounts are totalled up and displayed on the report.

Layouts are used for the following reports:

  • All Balance Sheet reports
  • All Profit and Loss reports
  • All Income and Expense reports
  • The SOFA report
  • The Cash Flow report

As these are your main financial reports, getting this right is pretty important!

What are the layouts for?

Sage 200 provides a number of 'out of the box ' financial reports for you to use. The reports vary depending on the details you want to see, and how you want to report on your financial data. However, each report uses a layout to determine:

  1. Headings and subheading for each section.
  2. The nominal accounts (by report or SOFA category) that are included.
  3. How the nominal accounts are totalled in each section.
  4. How the report sections are added together.
  5. How the values are displayed.
  6. Any other text that you want to include.

Sample layouts

To help you, we have provided sample layouts for all the financial reports.

These sample layouts use the 'out of the box' report and SOFA categories created for you when your first set up Sage 200. If you have just used these report and SOFA categories with your nominal accounts, you can use the sample layout and print your financial reports right away.

If you have migrated from another product, have created additional report or SOFA categories, want to add text or change the look of the report, you'll need to create new layouts. We recommend that you use the sample layouts as a template to create your own.

Import or export a layout

If you want to share layouts between companies, you can import and export layouts. This saves the layout as a CSV file, so you can edit it using Excel.

Note: You can import and layouts for your Profit and LossIncome and Expenditure and Balance Sheet, but not Cash Flow or SOFA layouts.

Open: Settings > Cash Book / Nominal Ledger > Financial Statement Layouts.

  1. Choose the layout.

  2. Click Import or Export.

  3. Choose the filename and location of the layout.
